We provide multi-tenant washing bay operational management, POS logging, automated SMS receipt dispatching, and sales analytics tools. This Privacy Policy explains how we collect, process, isolate, and protect business data and personal information when washing bay operators (“Tenants”) and their customers interact with our platform.
Compliance Notice: BayDirector is designed and operated in accordance with the Data Protection Act, 2012 (Act 843) of Ghana and applicable international data privacy standards.
1. Information We Collect
To deliver automated operational services, we collect and process the following categories of data:
- Tenant Account Information: Business name, subdomain identifier (`*.baydirector.com`), owner name, contact phone number, email address, and billing credentials.
- Customer Operational Data: Vehicle registration numbers, vehicle makes/models, customer phone numbers provided during service intake, transaction values, and payment status.
- Staff Credentials: Usernames, contact phone numbers, assigned system roles (Superadmin, Manager, Cashier), and activity audit logs within the terminal.
- Transaction & Payment Logs: Mobile Money (MoMo) transaction references, payment verification tokens, and SMS credit purchase histories handled securely via Paystack.
- Technical & Usage Metadata: IP addresses, browser agent details, access timestamps, and session security cookies.
2. How We Use Your Information
We process collected data strictly for operational, security, and service delivery purposes, including:
- Provisioning isolated tenant databases and custom subdomains.
- Sending automated digital transaction receipts and marketing notifications via SMS to vehicle owners upon job completion.
- Calculating attendant sales commissions, daily cashier balances, and revenue reporting metrics.
- Verifying MoMo and card payments for SMS credit top-ups via Paystack API integrations.
- Maintaining system security, audit trails, preventing duplicate entries, and enforcing multi-tenant isolation.
3. Multi-Tenant Database Isolation & Security
BayDirector utilizes strict database-level architecture isolation. Each onboarded washing bay terminal operates under a dedicated, isolated database schema (`baydirector_[subdomain]`).
- No tenant can access, view, or modify the operational data or customer logs of another tenant.
- All database connections are routed dynamically based on verified host origins.
- Data transmission across all subdomains is encrypted using SSL/TLS 256-bit encryption.
4. Third-Party API Integrations
We do not sell, rent, or lease tenant or customer data to third-party marketers. Data is shared exclusively with certified infrastructure partners necessary to perform core platform functionality:
- Paystack (Payment Gateway): Mobile Money and card transaction verification details are transmitted securely via encrypted API endpoints to process SMS credit purchases. We do not store raw Mobile Money PINs or credit card details on our servers.
- Nkomo SMS API (Telecommunications Gateway): Recipient phone numbers, sender IDs (`BAYDIRECTOR`), and receipt text contents are transmitted via HTTPS cURL to deliver instant SMS notifications to vehicle owners.
5. Data Retention & Tenant Ownership
All sales records, job logs, and customer phone directories generated by a washing bay remain the exclusive property of that Tenant.
- Operational records are retained as long as the tenant maintains an active subscription with BayDirector.
- Upon account termination or written request, tenants may request a full export of their isolated database (`.sql` or `.csv`) or a permanent purge of their tenant schema.
6. Cookies & Session Security
Our platform uses standard session cookies strictly to maintain secure user logins, prevent cross-site request forgery (CSRF), and maintain role-based access control across terminal sessions. We do not use third-party tracking cookies for targeted advertisement profiling.
